The kinds of personal information we collect

We only collect personal information where we consider it to be reasonably necessary for our business functions or activities. The kinds of personal information we collect may include:

the relationships, arrangements and correspondence between ourselves and our member organisations and individuals involved with them, who might include authorized representatives, employees, contractors and service providers, individual Men’s Shed members and their family members

your postal address, email address and telephone number

information about individuals involved in supplying or receiving our products, promotions, health services and other services we provide

when you use our website, your IP address, log-in details and website usage

credit eligibility information such as information about your credit history, payments, credit reports, defaults and previous credit applications.
How we collect your personal information

We will obtain your personal information only by lawful and fair means, and where practical, directly from you. If you provide your personal information to someone we deal with, we may obtain it from that person.
By using our services or providing personal information to us and AMSA, you affirm that you consent, and you have the consent of any other individuals whose information you are providing, to us AMSA dealing with it under this Policy.
The circumstances in which we directly collect personal information will vary depending on the nature of the interaction. Some common ways we collect personal information directly from you are:

When you provide information in the course of Men’s Shed member dealings with us

when you visit our office or attend a meeting or conference with us

when your employer or another service provider or entity you deal with provides personal information to us in the course of our relationship with them. Examples are where a member of the public contacts us with a complaint, inquiry or proposal that includes your personal information; or where a Men’s Shed provides us with contact details of you as an employee or representative of a local council or government agency, community organisation, health provider or other service provider

where a Men’s Shed of which you are a member provides your personal information for the database we manage.

Using your personal information

We collect your personal information so that we can use it for our reasonable business purposes and provide products and services to our member organisations.
Our primary purpose in collecting personal information is to represent, support and promote the Men’s Shed movement. AMSA was founded on the principle of supporting Men’s Sheds, and assisting them to work with community organisations that wish to engage with, or establish and operate, a Men’s Shed. The Men’s Shed movement aims to improve the health and wellbeing of members.

processing applications, feedback, inquiries, complaints, claims and orders that you place with us

conducting, and allowing you to participate in, a promotion, competition, promotional activity, survey or market research

Disclosing your personal information

We engage with a range of third parties in order to operate our business and provide services. We may disclose personal information to third parties for the same purposes as are set out in paragraph 4 above. Organisations to which we may disclose your personal information include:

as required by law, government bodies such as the ATO, ASIC, Australian Health Practitioner Regulation Agency, and the police or courts

industry, professional or government organisations

service providers we use to operate our business such as:

information technology, social media and platform providers

When making public or disclosing information that was prepared using personal information, where practical we will de-identify, aggregate or anonymise the information to remove the personal information.
We will generally not provide personal information to organisations we deal with unless it is justified or unavoidable in the circumstances. Where we believe disclosure is justified, we will only provide information on a confidential basis and to recipients that are committed to
protecting it (unless otherwise required by law).

You can refuse to provide personal information. A refusal may mean that we are unable to provide the service you or an organisation has asked for
Protecting your personal information

We store information in different ways, including paper and electronic form. We take reasonable steps to protect it from misuse, interference, loss, unauthorised access, human error, modification or disclosure including:

secure password protected databases for storage

confidentiality requirements of staff

security for access to our systems including firewalls

document storage security requirements

access controls for our building; and

limiting the provision of personal information to third parties on a need to know basis, and subject to commitments from them that are similar to the commitments we make in this Policy.
Due to the nature of electronic communications and the public internet, we cannot guarantee that personal information will be protected against unauthorized access or misuse. We do not accept any liability for breaches due to human error, malicious or inadvertent disclosure, technology flaws or malfunction, or the improper actions of unauthorized third parties.
We will retain your personal information for as long as necessary to fulfil our obligations to you, to protect our legal interests, or to comply with Australian law. Once those reasons for retaining your personal information no longer apply, we will take reasonable steps to destroy your personal information or to ensure that your personal information is de-identified.
Disclosing your personal information overseas
While we prefer to store data including personal information on local Australian servers, in some cases we may disclose your personal information to third party platform and service providers operating outside Australia.
We may also store your personal information on servers based overseas or in the “cloud” or other types of networked or electronic storage, which may be distributed in multiple jurisdictions.
You have the right, upon request, to access any of our records containing your personal information and credit eligibility information. To request access please contact our privacy officer. We will respond to your request within a reasonable period of time. On the basis that it is reasonable and practicable to do so, we will give you access to the information requested.
If we refuse your request, we will provide a written notice setting out the reasons for the refusal & how you can complain about the refusal.
